Invite Subcontractors

Once your project settings are complete, invite subcontractors to enroll in your project.

Note: To ensure a smooth experience for subcontractors, it is recommended to complete your project setup before inviting subcontractors to enroll. Project setup includes settings, document requirements, certification requirements, site safety orientation, and any relevant forms.

1) Navigate to Projects > select a project > "Contractors".

3) If your project has been imported via Procore, you will be able to choose a subcontractor from the available list. If you are not using Procore, you can simply enter in the subcontractor information.

Note: If your project is Sponsored, you will see the option to generate a license code.

4) Fill in the subcontractor name, then select the matching subcontractor from your Procore integration if applicable. You can specify if they are a subtier of another contractor on your project (optional).

You will see two fields for contact information. "Contractor Administrator Email" is a contact at the subcontractor who will accept the project invite and create their company profile. The "Project Contact Email" is a contact at the subcontractor who will be on site and responsible for filling out applicable forms. The "Project Contact Phone" is optional, however very useful for delivering forms via SMS.

If your project has multiple zones, you may specify which zone will be the default for this subcontractor. It is recommended to also provide a Start Date for subcontractors. This communicates a deadline for joining the project, uploading required documents, and ensuring their workers have completed the orientation. If you know when the subcontractor will be complete their work on site, you may also add an End Date.

5) When you select "Next", you will then be prompted to specify which documents and certifications are required for this specific subcontractor.

6) The final step is deciding if you would like to send the email invite to the subcontractor immediately, or wait to send out the invite until a later date. Subcontractors who have not been invited yet will have the status "Not Invited", whereas subcontractors who have been sent their invite will say "Pending" until they accept.

Note: If you are ever uncertain of who the invite was sent to or if you would like to resend the invite, click the orange text "Resend Invite", update the contact information if necessary, then click "Send Invites".
